Custom GPTs
For this explainer we've focused on OpenAI's ChatGPT, however Google has a similar feature called Gems.
Think of a Custom GPT as your own AI assistant within ChatGPT:
Instead of being general-purpose like ChatGPT, itβs tuned to your specific business, tone, and needs.
You can give it special instructions, knowledge, personality, tools, workflows, even APIs.
It retains the context you've given it and gives consistent responses.
You can share it with others, either privately or publicly.
Example: A wedding planner could make a GPT that:
Knows all the planner's best planning tips and processes.
Is loaded with information about a particular couple and their wedding day.
Uses a warm, reassuring tone.
The planner shares a link to this GPT with the couple as their own "personal planning assistant".
π How to set one up
In ChatGPT click on GPTs in the sidebar, then press Create (top right, web interface only).

Pick a purpose β e.g. βAnswer FAQs about my servicesβ or βHelp me draft LinkedIn posts.β
Set Instructions -> e.g. βAlways sound supportive and professional. Keep answers under 3 paragraphs.β
Upload knowledge β PDFs, docs, or links with your pricing, offers, case studies, or style guides.
Alternatively in the Create tab you can just chat in natural language and it will guide you through the setup.
You can test your GPT instantly by chatting on the right
π― Why it's useful
Content helper β drafts posts/emails in your voice, saving you hours.
Knowledge hub β remembers your process so you donβt repeat yourself.
Consistency β keeps your brand voice steady across everything.
π₯ Here's how I (Matt from Create With) use GPTs:
Chimp Life Coach is trained on the book 'Chimp Paradox'. It helps me create some sense when overwhelmed.
Spanish tutor is set to only speak Spanish and get me prepped for exams.
Happy Scoper is my favourite. We use this daily at Happy Operators. Not only does it help me break down transcripts from calls into an initial scope; I can then send it off to Notion and then Slack so the team can review. I recorded a video of how it's built (see next section). Dm me if you get stuck and i can help you.
For expert mode, see how Corey Haines uses it in his writing agency. Rather than having a mega GPT to handle work, each GPT is honed on a specific type of output. These are only viewable for this team and an excellent way of achieving consistency.

Matt does a demo of his Custom GPT 'Happy Scoper' that takes a messy request and converts it into a formatted scope, plus saves it in Notion and updates the team on Slack.
π Why it matters: Notionβs new AI Agents can now handle real tasks such as creating docs, building databases, and running multi-step workflows. You can personalise your Agent with instructions and context, so it works the way you do. If you've used Cursor it's built in a similar way. The chat interface is on the right. You need to upgrade to an AI plan to access in full but they let you play around enough to understand if your Notion is organised for it.
π Why it matters: Gamma was already a phenomenal tool for AI-powered presentations and documents. Now they've introduced Gamma Agent, an AI design partner that instantly turns ideas into polished presentations and handles research, citations, and feedback. The new Automation API lets you create and personalise presentations at scale from sources like meeting transcripts or CRM data. Do you use Gamma? Reply to this email we'd love to feature you
π Why it matters: n8n now lets you store and manage data directly inside your workflows. Now there is no need for an external database (think Airtable, Notion, Supabase). This means you can track state, store session data, or keep intermediate results all in one place. Itβs available on all plans (pre-release). This is hot off the tails of Zapier putting tables, Interfaces and MCPs available for free in all plans & Softr only recently releasing it's own tables as a data source. This is making it even harder to differentiate the tools. This may mean you need to authenticate less systems.

I have two kids in education and get a lot of school emails with dates for our diary. Working out which ones are relevant to my kids and adding them to our Google calendar was a pain. I built a simple AI agent in Zapier which is triggered when I give an email a specific label. It knows the classes my kids are in, figures out which events are for them, and then adds them all to our shared calendar. It's great!
